Policies & Procedures

House Of Vincenza is built on structured development, not assumption.

These policies define the standards that govern materials, labor and production outcomes.

Fabric Ownership & Production Policy

Clear agreements create better work.

This policy defines how materials, labor and project outcomes are handled within House Of Vincenza.

​

It exists to ensure alignment, protect the integrity of the work and prevent avoidable misunderstandings.

​

Fabric & Materials Ownership

​

Client-supplied materials remain the property of the client.

​

House Of Vincenza is responsible for the handling and use of those materials within the scope of the project.

​

Once materials are:

  • Cut

  • Altered

  • Or integrated into construction

They are considered accepted for use.

Use of materials constitutes acceptance of their suitability.

Labor Ownership

All development and construction labor is non-transferable and non-refundable.

 

This includes:

  • Pattern drafting

  • Design development

  • Sewing and assembly

  • Problem solving and revisions

  • Labor represents time, expertise and execution regardless of final outcome.

Design Direction & Revision Policy

All projects include structured design direction checkpoints to establish and confirm creative intent prior to development.

​

A pre-development design direction meeting is used to define and approve overall concept, silhouette, materials, and construction approach. Once approved, this direction serves as the foundation for development.

​

A post-sample review meeting may be conducted to assess fit, construction, and execution.

 

Changes requested after design direction has been approved—including aesthetic changes, material substitutions, or structural redesigns—are considered new development work and will be billed accordingly.

​

Fit corrections and technical adjustments are addressed within the development process.

Design changes are not.

Returns & Refunds

House Of Vincenza does not offer refunds on labor.

 

If concerns arise:

  • The garment must be returned for evaluation

  • Resolution may include repair, adjustment or replacement

 

All resolutions are determined based on the physical return of the work.

Acceptance of Work

A project is considered accepted when any of the following occur:

 

  • The garment is worn

  • The garment is photographed or publicly displayed

  • The garment leaves the studio without objection

​

Once accepted, the project is considered complete.

Intellectual Property & Work Ownership

All garments, prototypes and developed pieces remain the property of House Of Vincenza until paid in full.

​

Ownership transfers to the client only upon receipt of full payment.

​

Until that time:

  • Items may not be used, worn or publicly displayed

  • Items may not be transferred to third parties

  • Items may not be replicated or reverse engineered

Release of Work

Final delivery, shipment or release of any item is contingent upon full payment of all outstanding invoices.

 

House Of Vincenza reserves the right to withhold delivery until payment is complete.

Use Prior to Payment

Unauthorized use of intellectual property or unpaid work may result in revocation of usage rights and further action where necessary.

Missed Appointments & Communication Policy

Clients are expected to attend all scheduled appointments on time or provide advance notice if rescheduling is required.

​

A no-call/no-show or missed appointment without notice may result in:

  • Loss of scheduled time

  • Delays in project timeline

  • Removal from active scheduling priority

 

Repeated missed appointments or extended gaps in communication may result in:

  • Project pause or closure

  • Reassignment of production time to other clients

  • Requirement to restart under current pricing and availability

 

Deposits secure time within the development schedule but do not guarantee indefinite availability or locked pricing in the absence of active participation.

Project Participation & Pricing Policy

Projects require active participation and timely communication to remain on the schedule.

​

Extended delays, missed appointments or gaps in communication may result in:

  • Timeline adjustments

  • Loss of scheduling priority

  • Project restart requirements

 

Materials and partially completed work are not stored indefinitely and may be subject to project closure if inactivity continues.

​

Promotional rates, discounted pricing, or special offers are time-sensitive and contingent upon consistent project progression.

​

Delays in scheduling or communication may result in the expiration of previously offered rates.

In such cases, subsequent work may proceed under current published pricing and availability.

Design House Execution

House Of Vincenza operates as a design house. While all work is developed under the creative direction and technical oversight of Gina Vincenza Van Epps, production may be executed by qualified members of the House Of Vincenza team or trusted production partners.

 

Assignment of specific tasks—including sewing, patternmaking, or fabrication—is determined based on project needs, scheduling, and workflow efficiency.

 

The final deliverable reflects the standards and quality control of House Of Vincenza, regardless of which team member performs the work.

​

Requests for a specific individual to perform certain aspects of production must be discussed and agreed upon in advance and may affect scheduling, availability, and pricing.

​

House Of Vincenza maintains full discretion over production methods and personnel in order to meet design, timeline, and quality standards.

Purpose of These Policies

These standards are in place to protect:

  • The integrity of the work

  • The accuracy of the process

  • The people involved in creating it

Related Structure

All work is billed according to our Transparent Development Pricing model.

Governing Law & Venue

Any disputes arising from services provided by House Of Vincenza shall be governed by the laws of the State of Florida.

 

The client agrees that any legal action or proceeding shall be brought exclusively in the county of residence or principal place of business of House Of Vincenza and consents to the jurisdiction of those courts.

Business Identity & Policy Applicability

House Of Vincenza is the operating name of Gina Vincenza Van Epps.

Any payments, deposits, or agreements made for services provided by Gina Vincenza Van Epps or House Of Vincenza are subject to the same policies, pricing structures and terms of service as published, regardless of how the client references the business.
